The following general information is provided to help answer questions about the policies and procedures of Walt’s Mailing Service as they relate to the handling of your mail program.
General Information
All prices are quoted based on our general terms and conditions, unless specifically stated otherwise in the written quotation.
To avoid any misunderstanding, and to ensure that all customer work is processed in an orderly manner, all instructions must be in writing. Please provide any and all purchase order numbers. Instructions, which are not provided in writing, may lead to problems for which Walt’s Mailing Service cannot be responsible.
Walt’s Mailing Service is here to help you. Contact your Walt’s Mailing Service account representative prior to the design stage so we can best advise you on how to setup your mailing. Working together we can prevent problems and ensuring that materials meet both machine specifications and U.S. Postal Service regulations.
Scheduling
In many instances, Walt’s Mailing Service requests at least a 2-business day notice for most job processing, however, this depends on the size of the project. If your mail list is provided to us on electronic media, we need to have the data two business days prior to the mail date. This allows us to successfully complete file importing. In the event your project’s schedule changes please inform us immediately, we will make every effort to meet your new deadlines.
Walt’s Mailing Service, Inc. understands the importance of deadlines; we make every effort to meet scheduled commitments. To process work on schedule, we rely on all material being delivered to us on time and in good condition. If material is curled, poorly folded, improperly or inconsistently sized, or otherwise in poor condition, it may slow machine production or require additional handling; processing such materials may incur additional labor charges. A Walt’s Mailing Service representative will contact you in the event this happens.
Machinability
Most Walt’s Mailing Service jobs entail some type of processing through automated equipment; it is therefore critical that the mail pieces be consistent in size, paper weight, and folds. In addition to causing difficulty in the automated process, inconsistent pieces are also unlikely to be accepted by the Postal Service as Bulk Mail.
Mailing Lists
Walt’s Mailing Service, Inc. is a broker of mailing lists and makes available to its customers a variety of specialty lists. As for "Customer supplied lists" we will not copy or release your database without your written authorization on your company’s letterhead.
Freight Shipments
Walt’s Mailing Service will not accept any shipments marked "collect" unless special arrangements have already been arranged.
Financial Requirements
To allow sufficient time for deposit with the U.S. Postal Service, when you use Walt’s Mailing Service’s permit number, we require that all checks to cover postage be in Walt’s Mailing Service’s possession one business day before your mail date. (In the case of multiple drops, the funds for the initial drop must be in one business day prior.)
If the postage deposit is not received, Walt’s Mailing Service cannot advance the money required, and the U.S. Postal Service will not accept your mail. Please make certain that you have advanced adequate postage to cover your entire mailing, including the foreign portions. When using your own permit, funds must be deposited the day prior to the scheduled drop date. To help ensure deposit of sufficient funds, we will gladly estimate postage for you.
